Tour Itinerary Changes

We may occasionally have to make a change to the itinerary of a tour/program due to unavoidable or extraordinary circumstances. This could include the destination, route, accommodation, mode of transport, activities or inclusions. We would only make a change if it was absolutely necessary or unavoidable due to reasons such as safety concerns, extreme weather conditions, or local transport delays and cancellations. While we always endeavour to operate all tours/programs as described, we reserve the right to change the tour itinerary, if need be, which may be before or after the tour/program starts. The change we may have to make could either be a minor change or significant change.

Minor Changes

We will occasionally need to make minor changes, such as changing an accommodation to another hotel/hostel/guesthouse of the same standard or better in the same destination, or changing the departure time of a local bus/train/flight, or changing an activity to another one of the same standard or better. While we will do our very best to notify you of the change, this may not always be possible. In any circumstance we will not be liable to refund or compensate you for the minor change that we had to make if an appropriate alternative of similar or higher value is provided.

Significant Changes Before The Tour/Program Starts

If we have to make a significant change before the tour starts, such as changing the route of the tour due to extreme weather conditions, we will inform you as soon as possible. If this happens you will have 3 options:

  1. Reject the proposed change and cancel your booking with a full refund.
  2. Reject the proposed change and cancel your booking and make an alternative booking or receive a credit that you can use to make another booking in the future.

Significant Changes After The Tour Has Started

If we have to make a significant change after the tour has started, such as changing the route of the tour due to extreme weather conditions, we will inform you as soon as possible. If this happens we will make alternative arrangements whenever possible. If the alternative arrangements are of a lower quality you will be entitled to a price reduction, and you may be entitled to compensation for any damage you sustain as a result of the tour being changed. You will be entitled to an appropriate price reduction unless the significant change is attributable to you. You will be entitled to receive appropriate compensation from us for any damage you sustain, except where the damage is attributable to you, attributable to a Third Party unconnected with the provision of the tour and the event is unavoidable or extraordinary, or where the damage caused was due to unavoidable or extraordinary circumstances.

Medical Conditions & Dietary Requirements

It’s our highest priority to make sure that you are safe and healthy on tours. Therefore, you must not participate in a tour if it might adversely affect your physical or mental health. If you are unsure as to whether you can safely participate in a tour, we recommend that you seek medical advice. It is your responsibility to inform us if you have any physical or mental health issues that may prevent you from participating safely in a tour. In some circumstances we might ask you to have a medical clearance form (that we will send you) completed and signed by a licensed medical practitioner. If you have any pre-existing medical conditions which may impact your ability to travel, participate in a tour, travel to remote areas without access to medical facilities or that may adversely affect the experience of others on your tour, you must return a medical clearance form. You agree to disclose all relevant medical information accurately and fully. We will maintain the information in accordance with our Privacy Policy. We reserve the right to deny you permission to travel or participate in any aspect of a tour/program at any time and at your own risk and expense where we determine that your physical or mental condition renders you unfit for travel, or you represent a danger to yourself or others.

Pregnancy is considered a medical condition and must be disclosed to us at the time of booking. Most airlines have policies in place depending on the stage of pregnancy (usually 24-26 weeks) and may require you to complete a medical clearance form or may refuse to carry you. If you do not disclose any relevant medical conditions to us we reserve the right to cancel your booking and all applicable cancellation fees will apply.

You accept that we cannot guarantee that you will not come into contact with any allergens whilst on a tour/program. Please let you group leader/local team know if you have any food allergies, so that they can help you avoid them. Ultimately it is your responsibility to make sure that you avoid coming into contact with any allergens. We cannot be held responsible for any accidental consumption or contact. Please bring any medication, including Epi Pens with you, as these are not easily accessible whilst you’re on a tour/program.

Special Requirements

  • Any special requirements must be disclosed to us at the time of booking. We will use any reasonable efforts to accommodate special requirements or requests, but this is not always possible given the nature of the destinations visited and availability of options outside a planned itinerary.
  • Certain activities may be inaccessible to you if your mobility is limited in any way. All food allergies and dietary restrictions must be disclosed to us at the time of booking and we will do our best to accommodate them, but we cannot guarantee that all dietary needs or restrictions can be accommodated.

  2. Payments made using a credit can only be refunded as a credit (where eligible). No cash refunds will be made for payments made with a credit.
  3. Banking transaction fees are non-refundable in all circumstances.
  4. If during your trip you have incurred extra charges for which you must reimburse Gateway Go Travel, you will make such payments to Gateway Go Travel’s bank account or to your Group Leader within three (3) days of being notified of such payment requirement(s). Examples include fees to pay for avoidable damage to hostel property, fees paid for you to catch up with the group if you miss a train (if due to your own fault), if you lose a train ticket after we have handed it to you or if a Group Leader helps buy medicine or pay hospital fees on your behalf.
  5. Although it’s unlikely to happen, the price of your tour may increase up until 20 days before departure if tour costs rise for reasons such as flight ticket cost changes, flight tax changes or currency fluctuations. If the price increase exceeds 8% of the price of the package, you may terminate the contract.
  6. Prices shown on our website or provided to you via written communication regarding estimated pricing of optional activities, independent activities, and any other activities are for budget estimation purposes only and are subject to change based on the discretion of our local activity suppliers.
  7. In the event of a system error whereby the price is wrongly listed on our site- then we reserve the right to inform you within 10 working days and offer a full refund if you do not decide to travel with us.

The participant is solely responsible for arranging and paying for their own travel to and from the program destination, as well as any local transport costs not specified as being included in their tour/program fee. It is also the responsibility of the participant to obtain and carry all necessary documentation such as visas and passports, when travelling abroad. You must have a valid passport for the duration of your Tour/Program and for 6 months thereafter. While Gateway Go Travel may provide advice and guidance to the participant in regards to the required travel documentation, Gateway Go Travel is not responsible for the accuracy of its advice or providing or obtaining any supporting documents necessary for the participant’s travel needs, such as visas, medical certificates, or travel permits. Participants are responsible for ensuring their travel documents are up to date and valid for travel. You may be required a specific visa for volunteer work programs and is your responsibility to ensure you have the correct visa. We will not be held responsible if you are denied entry to a country due to an invalid passport or lack of visa.

You are required to email a scan of your passport at least 30 days before your trip start date – without this we cannot book train tickets, flight tickets and accommodation and you will be unable to travel with us. No refund will be offered in this situation.

Insurance

Travel insurance that includes overseas health insurance cover is mandatory for each participant, and the participant must purchase this prior to departing on the trip. Participants will be required to send Gateway Go Travel proof of travel insurance before their trip start date, and also provide proof of travel insurance to local operators when they arrive at the destination. The participant is solely responsible for evaluating and determining the type, extent, and levels of any insurance coverage they need or desire for their planned travel period. This must cover their entire travel period.

Acceptance of Risk

The participant acknowledges and accepts the responsibilities and risks associated with their choice to travel to, temporarily reside in, and provide volunteer or work services in a foreign country. Such travel, work and volunteer work can be hazardous and involves a certain degree of risk, inherently dangerous activities and personal perils to the volunteer, both foreseen and unforeseen, all of which are fully accepted by and solely assumed by the participant. However, it is also your own responsibility to acquaint yourself with all relevant travel information, including all applicable health risks, and the nature of your itinerary. You acknowledge that your decision to travel is made in light of consideration of this information and you accept that you are aware of the personal risks involved with such travel. To the fullest extent permitted by law, we accept no liability in relation to these additional risks. Therefore, Gateway Go Travel, including any and all of its employees, managers, directors, shareholders, host families, Third Party Teams and Independent Local Teams (together, the “Gateway Go Travel Related Parties”), is not liable and disclaims all liability, to the maximum extent permitted by law, for any loss or harm the participant or associates may suffer, including but not limited to loss caused directly or indirectly by:

  • Emotional/mental health injury;
  • Death;
  • Illness, disease or pandemic;
  • Damage to or loss of property;
  • Natural disasters;
  • Hostage situations; or
  • War or terrorism.

In the event of a suspected or potential outbreak of any infectious disease on the program, among close contacts, or in locations recently attended by the participant then the participant agrees to undertake any testing required at their own cost. Should the participant refuse to undertake such testing, the Independent Local Team is entitled to dismiss the participant from the program and remove them from their accommodation at any time without refund, and put in place other measures to protect the health of other participants and the local community.

Great Wall Excursions (China)

China Tours with Gateway Go Travel may bring you to an unrestored section of The Great Wall of China, at which the camp site we use has been deemed by local authorities as safe barring any unforeseen circumstances, including but not limited to instances of ‘force majeure.’ Your safety while camping or hiking on The Great Wall is your sole responsibility and Gateway Go Travel, or any of its related third parties, including suppliers or local tour operators, cannot be held liable in any way for your safety.

Swimming

Certain tours will include opportunities to swim in swimming pools, rivers, the sea and lakes. Your Group Leaders and local guides are not trained life guards, so all water-related activities are undertaken at your own risk, and Gateway Go Travel, or any of its related third parties, cannot accept liability for any swimming accidents which may occur.

Transportation

It is common and accepted practice for transport methods employed on our trips to run with delays, or to run below operational standards that would be regarded as standard or normal in Western Europe. We cannot accept any claim of any nature which relates to any failure of transport operators to conform either to timetables supplied by us or to their own timetables or arises from issues with operational standards by transport operators whose services form part of our itineraries (whether original or amended).

Issues on Trips

If you are unhappy in any way with the service you are being provided while on a trip, please discuss this with your group leader/local coordinator as soon as possible so they have the opportunity to resolve your issue. If this is not appropriate or they are part of the issue, please email info@gatewaygotravel.com without undue delay and we will do our best to resolve the situation fairly and promptly. If we are not contacted within 48 hours of an issue arising or not given the opportunity to resolve the issue when it happens, we cannot be held responsible for any compensation related to your issue or requested at a later date. If you decide to leave the trip early, before Gateway Go Travel has been given the opportunity to fully investigate your complaints and rectify any problems, you may do so at your own cost.

All our programs and trips are ethically assessed by ourselves. If at any point during your trip you witness or experience any unethical practices, please contact us with the issue, dates of trip and issue occurrence, and the program/trip you were on.

If at any point while on a trip we deem it necessary to seek medical attention for you, whether it be a physical injury, illness or mental health related issue we cannot be held liable for any cost incurred as a result. You must provide us with an emergency contact, and if at any point we believe your physical or mental health is at risk, or there is a risk to other participants, staff members or the general public as a result of your behaviour, you acknowledge that we may contact them if we deem it necessary.

If you do not inform us of a pre-existing medical condition or allergy and an issue related to it arises whilst you’re on a tour/program, we may be required to ask you to leave the tour if we deem your health or safety is at risk. If this happens, we will not be liable to compensate or refund you.
